Vto Ultimate was designed to simplify all processes related to managing client travel data especially when it comes to pulling data together to provide a clear picture of performance and profitability, the time and money saving reports designed to achieve this rely on the following procedures;
- ALL data relating to client travel must be recorded in the Trip, this includes Air Segments, Car Hire, Hotel segments, Transfers, Visa’s, Courier Fees, Rail, Cruise anything and EVERYTHING related to a client’s travel.
- Where the client is paying the service provider direct all you have to do is record the payment on that sector as a CCCF, you will already know the duration / value of the sector so set the commission rate as appropriate (this can always be adjusted later if necessary) doing this will ensure that NO Commissions escape being collected. Remember you do have the ability to create a Supplier Invoice in Vto
- OVERRIDES, to handle these you can create a Client Profile simply named Overrides When when an override cheque is received all you have to do is create a NEW Trip with the Destination as OVR and the Lead PAX as the source of the override e.g. Travelers Choice and the Product as OVR, record the sector with a 100% commission, receipt the Client payment and the related financial data will be included in your next export
- IF your overrides are direct Deposited to your GENERAL Account all that you have to do POST Import to MYOB is OPEN the related transaction from the Un-deposited Funds account and CHANGE the Receipt Account from Client Travel Account to General Account
- Always check the UNALLOCATED FUNDS report before signing off for the day and ALLOCATE or REFUND any and all amounts whilst the information is still fresh in your mind
- Keep ALL files up to date with notes on the file as appropriate so to ensure that in the event of illness or other the rest of the team can assist with continuing / finishing the file on your behalf
